Once an event is designed in Event Map by VenueScout, the equipment you need is already listed. VenueScout turns that list into tenders that verified vendors can bid on.
1. Design the layout
Design your event on the venue's 3D model. Event Map keeps an equipment list for the layout, with items, quantities, units and a department for each.
2. Hand the list over
Today you upload the equipment list from Event Map as a CSV export (a JSON export also works). A one-click hand-off from Event Map is coming. VenueScout maps departments and keywords to vendor categories and creates one tender per category, so audio, lighting and the rest each get their own.
3. Vendors bid
Vendors sign up with a profile and their KRA PIN, and our team verifies them. Verified vendors browse open tenders and send bids, and each tender has a message thread between organiser and vendor.
4. Shortlist and award
Compare the bids, shortlist some, and award one. A success fee applies only when you award; see pricing for the current rate. Illustrative rates, confirmed before launch.
What stays outside
VenueScout does not hold funds for vendors yet. Escrow and milestone payments are planned for a later phase.
If you are a vendor, see for vendors. If you are an organiser, see open tenders.
